Summary
We are seeking a dedicated Administrative Assistant to join our team at Apex Fostering. This vital role supports our mission by ensuring smooth administrative operations and effective communication within our organization. Reports to: Responsible Individual, Registered Manager & Operations Manager
Location: Essex/Work from Home
Hours: 16 hours per week, worked over 4 days
Salary is Pro Rata.
Role Overview
We are looking for a highly organised and proactive Administrative Assistant to work alongside our Operations team to provide essential support to our foster carers and Social workers. This role plays a key part in ensuring records are accurate, documents are up to date, and carers, staff, and children receive timely communication and support.
You’ll work closely with the Supervising Social Workers (SSWs), management team, and carers, helping to maintain compliance, coordinate assessment paperwork, and assist with data entry and event management.
This is a part-time position, working 16 hours per week across 4 days, offering flexibility while providing consistent support to the fostering team.
Key Responsibilities
1. Documentation & Records Management

Monitor and chase outstanding documents and update spreadsheets accordingly.

Identify and update records, uploading new and updated documents to our system while maintaining document tracking spreadsheets.

Use email templates to send chasers and follow up appropriately.

Maintain and regularly update details for key contactsManage and track DBS checks and references for carers and staff, ensuring documents are uploaded and records kept current.

Support with uploading training certificates, policies, and other key documentation as required.

Regularly review and update internal tracker spreadsheets

Ensure compliance with data protection, confidentiality, and record-keeping standards.
2. Onboarding & New Starters

Prepare lanyards, welcome packs, and introductions for new carers and staff.

Create materials using Canva and Zazzle (lanyards, signatures, welcome books, etc.).
3. Events & Communications

Organise and assist with the facilitation of events and support groups.

Assist with event administration by collecting attendance records, photos from the day, and feedback following the event.
Skills & Experience

Strong administrative and organisational skills.

Excellent attention to detail and ability to manage multiple tasks.

Confident using databases, spreadsheets, and communication tools.

Competent in Microsoft Office, Canva, Google Drive and general IT systems.

Good written and verbal communication skills.

Understanding of confidentiality and data protection principles (experience in fostering or social care is desirable but not essential).
